Lead tracking help

Tracking and follow-up for campaigns you already run

DH Lead Desk passes your request to a service partner who sets up measurement and lead routing around your current tools.

What gets measured, and what does not

A tracking setup measures events you define. Form submissions, thank-you page views, button clicks on a phone number, and sales stages in your CRM are all common choices. Each is recorded in GA4, the ad platforms, the CRM, or several of these at once.

Some things stay out of reach. Ad blockers and privacy settings stop some tags from firing. People who see an ad on a phone and later visit on a laptop may show up as two visitors. Platform numbers rarely match each other exactly, because each counts by its own rules.

Good tracking accepts these gaps and is honest about them. The aim is a consistent record you can compare from month to month. A perfect count of every person is out of reach for anyone.

Speed-to-lead alerts

A new lead that sits unnoticed in an inbox loses value as the hours pass. Speed-to-lead alerts make sure the right person knows a request has arrived.

Common setups send an email to the lead's owner, a message to a Slack channel, or a notification in the CRM's mobile app. The alert usually includes the name, the service requested, the source campaign and a link to the record. Some businesses add a reminder if no activity is logged after a set period, or an escalation to a manager.

How fast your team responds comes down to staffing. The setup makes the arrival visible and can record when the first follow-up happened. If you plan to text new leads automatically, settle the consent question with your counsel first.

What you provide for tracking setup

Tracking connects your own accounts, so most of what is needed is access and a few decisions:

  • Admin access, as an added user, to Google Tag Manager, GA4 and each ad account
  • Access to your website or page builder to install Tag Manager, if it is not already there
  • Admin or integration access to your CRM
  • A list of every form and where each one sends submissions today
  • Your sales pipeline stages and what each one means
  • Who should be alerted about new leads, and how
  • Any consent wording and records your counsel requires

If some accounts were set up by a past provider, check now that your business is the owner. Recovering ownership later can be slow.

Questions about lead tracking and follow-up

What is an offline conversion import?

It sends outcomes recorded in your CRM, such as a booked meeting or a won deal, back to an ad platform and matches them to the original click. The platform then knows which ads led to sales conversations, not only form fills. How it uses that information is up to the platform.

Which CRMs can form leads be routed into?

Most common CRMs accept form leads, including HubSpot, Salesforce and Pipedrive, either through a direct integration or a connector tool. The setup maps each form field to a CRM property, saves the campaign source, checks for duplicates and assigns an owner.

Will tracking setup change how many leads I get?

No. Tracking records what happens; it does not change what visitors do. It can show which campaigns produce sales conversations, and sending CRM stages back gives ad platforms better information. What the platforms and your buyers do with that is outside anyone's control.
